A travel agent/agency typically sends business to your property and is paid a commission based on the amount of room revenue paid by their client to the hotel. Skyware allows you to attach and track travel agents, the amount of business they bring in, the amount of commissions that they are due, and whether they have been paid those commissions or not.
To add a Travel agency and travel agents into the system, open the Travel Agents Accounts screen and click the New icon. The screen refreshes with a blank set of tabs.
Use the tabs on the screen to enter the appropriate information.
NOTE: When you make changes on a tab you must select to either Save your changes or Cancel your changes before the system will let you move to another tab.
The information requested on each tab is outlined below:
GENERAL: Contains all of the address and marketing information for the agent/agency.
OTHER: Contains some billing and date information as well as the travel agent Commissions information.
CONTACTS: Click the Add button to add the individual contacts or travel agents that work for the agency. The address information carries over from the travel agent file card but can be modified for each individual travel agent. You can also add dates (such as the established/entered date and the contact's birthday and anniversary dates), and any comments about that travel agent.
STAY: This lists any stays that have been created for the travel agent. For example, if that particular agent is staying at your property, that stay would be listed. This does not list all the stays that the agent is attached to.
COMMENTS: Enter any comments about the travel agency.
Use the buttons at the top to delete a record (provided they do not have any active activity) view or create a Query Builder report. If the travel agent may also stay at the property you can Create a new Reservation, attach Special Requests or Preferences or Add Negotiated Rates.
Once a Travel Agent has been created, the agent can be attached to stays.
